# Roles and permissions

> How roles control what each member can do, and how to create, edit and delete roles.

A role decides what its members can do. A role is a set of permissions. A member can hold more than one role and gets the permissions of all of them.

To see the roles, open the user menu and click **Account Settings**. Then click the **Roles** tab.

## The owner role

When you create an account, Perquery creates your organization with one role. Its name is **Admin**, and it has the **Owner** badge.

The owner role has these rules:

* It always holds every permission.
* You cannot edit or delete it.
* It is never given with an expiry date.
* The organization always keeps at least one active member with the owner role.

These rules make sure that the organization cannot lock itself out.

## Permissions

A permission is one operation on one area of Perquery. The operations are **List**, **View**, **Create**, **Edit** and **Delete**. Some areas do not have all five operations.

| Area | What it covers |
| - | - |
| **Members** | The people in the organization and their roles. |
| **Roles** | The roles and what each one may do. |
| **Plan and billing** | The plan, add-ons and billing. |
| **Invitations** | Inviting people to join the organization. |
| **API keys** | Keys that read the API on the organization's behalf. |
| **Sites** | Sites, their settings and their tracking schedule. |
| **Competitors** | The competitors tracked for each site. |
| **Prompts** | Tracked prompts, groups and imports. |
| **Personas** | Personas and their voices. |
| **Visibility** | Visibility runs and their answers. |
| **Content analysis** | Content crawls, pages and prompt matches. |
| **Technical analysis** | Technical audits and page inspections. |
| **Authority** | Citation sources and authority gaps. |
| **Bot logs** | AI crawler logs and their uploads. |
| **Opportunities** | Opportunities and marking them done or dismissed. |
| **Impact** | Recorded interventions and their measured impact. |
| **Suggestions** | Suggested personas, prompts and competitors. |
| **Content tools** | Briefs, drafts, meta tags, schema and robots tools. |
| **Integrations** | Connected analytics, search and ads accounts. |
| **Reports** | The report page and its AI answers. |

When a role does not give access to a page, the page shows **You do not have access to this page**. Menu items that your role does not allow do not show.

> [!WARNING]

> Give the **Members** and **Roles** permissions only to people you trust. With them, a person can change what other people may do.

## Create a role

**1. Open the Roles tab**

On the **Organization** page, click **Roles**.

**2. Start a new role**

Click **New role**.

**3. Name the role**

Enter a **Name**. Keep **Show in pickers** on if people will invite or add members with this role.

**4. Create**

Click **Create role**. The role page opens.

**5. Choose the permissions**

In **Permissions**, select the operations for each area. Click **Save**.

**Show in pickers** only hides a role from the lists in the invitation form and the member panel. It is not a security setting.

## Edit a role

On the **Roles** tab, click **Manage** in the row of the role. The role page has these parts:

* **Details**: the **Name** and **Show in pickers**.
* **Permissions**: a grid of areas and operations. Use **Select all** or **Clear** to change many cells. Use **Only granted** to see only the permissions that the role gives.
* **Includes**: other roles that this role includes.

When you make a change, **You have unsaved changes.** shows. Click **Save** to keep the changes, or **Undo** to discard them.

### Include another role

When a role includes another role, its members also get all permissions of the included role.

**1. Choose the role**

In **Includes**, select a role in **Include a role**.

**2. Include**

Click **Include**. Then click **Save**.

A permission that comes from an included role shows the name of that role. A role cannot include itself through other roles.

### Narrow a permission

You can narrow some permissions of the **Members**, **Invitations** and **Roles** areas. A narrowed permission applies only to the records that match its conditions. For example, a role can manage only the members who hold a specific role.

**1. Open the conditions**

In **Permissions**, click **Narrow** on the permission.

**2. Add conditions**

Click **Add condition**. Select a **Field**, a **Rule** and a **Value**.

**3. Add alternatives (optional)**

Click **Add alternative** to add a second group of conditions.

**4. Apply**

Click **Apply**. Then click **Save**.

Inside one group, all conditions must match. The permission applies when one of the groups matches. A permission with no conditions applies to all records.

### You can give only the access that you have

You cannot give a role a permission that you do not have yourself. The grid marks these permissions, and Perquery refuses them.

## Delete a role

You cannot delete the owner role.

**1. Start the deletion**

On the **Roles** tab, click **Delete** in the row of the role.

**2. Move people (if necessary)**

Some members can have this role as their only role. For them, select a role in **Move people whose only role this is to**.

**3. Delete**

Click **Delete role**.

Members with another role only lose the deleted role. If an open invitation uses the role, revoke the invitation first or choose a role to move people to.
